At VictoriAna Events, we believe that creativity flourishes where everyone feels seen, safe, and celebrated. We are committed to ensuring equality of opportunity and fostering an inclusive environment for our team, performers, and clients alike. 

We stand firmly against discrimination of any kind and provide reasonable adjustments to enable participation by those with disabilities or additional needs. Every decision we make, from hiring to event design, reflects our belief that difference is strength.

This policy applies to all employees, freelancers, contractors, and participants involved in any aspect of our events, tent builds, workshops, or performances. 

​Any breaches or complaints of discrimination, harassment, or bullying will be taken seriously and investigated confidentially. Action will be taken in line with our Disciplinary Policy.

Safeguarding

We recognise that our work brings us into contact with people of all ages and abilities and so VictoriAna Events is committed to protecting the safety and wellbeing of all individuals who take part in our experiences — particularly children, young people, and vulnerable adults. 

We maintain safe environments through training, risk assessment, and supervision.  We will act promptly and appropriately in response to any safeguarding concerns and will work alongside carers, parents, and relevant authorities when concerns arise. 

Conduct Guidelines 

  • Maintain professional boundaries at all times. 

  • Never be alone with a child or vulnerable adult. 

  • Use appropriate language and physical contact only where necessary for safety. 

  • Report any concern, disclosure, or incident immediately to the Safeguarding Lead as soon as possible using factual, clear language.

  • The Safeguarding Lead will contact local safeguarding authorities if needed.

  • All staff and freelancers will receive safeguarding training as part of their induction.

Data Protection & Privacy
(UK GDPR)

VictoriAna Events values the trust placed in us by clients, staff, and collaborators. We are committed to protecting personal information and ensuring it is handled lawfully, transparently, and securely in line with the UK General Data Protection Regulation (GDPR) and the Data Protection Act 2018.

This policy applies to all personal data held by the company, including that of clients, staff, suppliers, and event participants. Any data held will only be held as long as legally or operationally required and no details will be shared without explicit consent.

Digital files will be stored on password-protected systems with restricted access and paper files will be kept in locked cabinets in a secure location.

Data We Collect 

● Contact information (name, email, phone, address)

● Payment or invoicing details 

● Health or accessibility information (only when relevant to safety) 

● Images or videos (only with written consent) 

How We Use It 

● To manage bookings and deliver services 

● To communicate with clients and staff 

● To comply with insurance and safety requirements 

● To share marketing materials (only with consent) 

Individuals have the right to access, correct, or request deletion of their data at any time by contacting info@victorianaevents.com

Any suspected data breach must be reported immediately to the Director. Serious breaches will be reported to the ICO (Information Commissioner’s Office) within 72 hours. 

Environmental & Sustainability

At VictoriAna Events, creativity and conscience go hand in hand. We are committed to minimising our environmental footprint, sourcing responsibly, and leaving every space we touch better than we found it.

We aim to use recycled and reclaimed materials sourced ethically and locally wherever possible in our builds and props. And to design our installations for longevity, repair, and re-use. 

This policy applies to all our operations — tent builds, events, transport, materials, and office practices. 

Review

These policies will be reviewed annually or when legislation changes.

The Director is responsible for implementing these policies and reviewing it annually. However all staff, freelancers, clientele and customers are responsible for adhering to all the guidelines and guidance provided.
